Monitoring: the manager's view

Monitoring is the manager's view of the execution of Collection Routines. Each record displayed represents a collection that was made — or a collection that should have been made and was not.

This is the screen you use to audit routine compliance in your workspace: who collected, when they collected, which windows closed without the expected number of collections, and which teams or collaborators are leaving activities pending. This way, holding teams accountable becomes a matter of data, not perception.

1. Who can access

Monitoring lives in the Routines area, accessible from the Main Menu. Two permissions grant access to it: manage routines (full access to the Routines area: configuration and monitoring) and view routines (access to monitoring only — for those who have only this permission, the Routines item in the Main Menu leads directly to the Monitoring page).

Plan feature

The Routines area is only available in workspaces whose plan has the Routines feature enabled.

2. Record statuses

Each row in Monitoring has one of two statuses:

Not RespondedThe window closed without the expected collection. The system automatically records this pending item at the end of the window.The window's period and the deadline that was missed. When the task uses the All collaborators must send option, the record identifies which collaborator did not send; otherwise, the pending item appears as a team pending item, without pointing to a specific collaborator.

3. Filters and queries

Records are presented in a paginated table. Each row shows the routine, the form, the collaborator (when applicable), the date, and the status of the record.

To refine your query, use the available filters:

  • Status: Responded, Not Responded, or both;
  • Routine: records from a specific routine;
  • Form: records from a specific form;
  • Collaborators: records from one or more collaborators;
  • Date range: date interval of the records.
Query period

By default, the page shows records from the last 90 days (approximately). The date filter range is also limited to 90 days per query — to analyze longer periods, run successive queries over consecutive intervals.

4. Shortcuts from other screens

Besides the access through the Main Menu, other Hashdata screens lead to the monitoring or the configuration of routines with the context already applied:

  • Form configuration: on the form configuration screen, a card shows the routines linked to that form, allowing you to navigate directly to them. Learn more about creating and configuring forms;
  • Collaborators screen: you can open a collaborator's routines panel, which lists the routines they participate in — grouped by routine or by form — and navigate to the routine's configuration or to the monitoring. Learn more about managing collaborators;
  • Routines configuration screen: in each routine's options menu there is a shortcut to open the monitoring for that routine, already filtered.

5. Export to Hashdata Advanced Reports

In workspaces that have, in addition to the Routines feature, the advanced reports feature enabled in the plan — and with the Hashdata Advanced Reports integration active in the workspace —, routine events are automatically exported to Hashdata Advanced Reports.

Both executed collections and not executed activities are exported, along with the business data of each record: routine, form, collaborator (when applicable) and date. With this, you can build dashboards and compliance analyses for your routines — by routine, by form, by collaborator and over time — going beyond the point-in-time queries of the Monitoring page.

Automatic export

There is nothing to enable on the Routines screen: when the Routines and advanced reports features are enabled in the plan and the Hashdata Advanced Reports integration is active in the workspace, the export of events happens automatically.
